Before you move wedding software, rehearse one event’s exit

One fictional event. A second reader. A clearer record of what a migration preserves and what still needs a decision.

This is an original proposed evaluation method, not a report that any named platform has failed or that every product offers the same export tools. Start with the capabilities documented for the product and plan you actually use. Keep access restrictions and private client information intact.

Choose a fictional event

Build a sample using invented names, a sample date and a few ordinary documents. List the information the team would need to understand the booking: agreed scope, current timeline, outstanding decisions, approved contact routes and the next responsible person. Do not copy a real couple’s private records into a public demonstration to make the exercise feel convincing.

Write the expected result before trying an export. A successful download should not become the definition of success simply because a file appeared. The practical question is whether an authorised colleague can reconstruct the sample event’s current position from the permitted information.

Separate the records from the relationships

A document is useful partly because of what it belongs to. Which event does the revised brief concern? Does the filename explain whether it replaced an earlier draft? Who needs to act on the decision? Record these relationships in the rehearsal checklist and inspect how the available tools represent them.

Leave unsupported features marked as unknown. If the product does not document a particular export or migration option, ask its support team through the business’s ordinary authorised process. Do not assume that an integration shown in a demonstration works for your subscription, or that a downloadable file includes every attachment and history item.

Test interpretation with a second reader

Ask an authorised colleague who did not set up the sample to find the current date, current scope and next action. Compare their answers with the expected result. If they need an oral explanation for every item, improve the naming and handover notes before deciding that more automation will solve the problem.

This is a workflow test rather than a score for the software. Confusion can come from team habits, missing information, configuration or an actual product limitation. Keep those explanations separate so the next action goes to the right owner.

Plan the transition as its own project

An account change can affect forms, public links and internal responsibilities. Make a list of the places your business would need to review, and assign each a person and check date. Keep the existing service available until the business has agreed its transition approach. Do not cancel accounts or delete records as part of a marketing exercise.

From an IAM perspective, this rehearsal is also a customer-experience exercise. A client should not have to understand a supplier’s software migration to find a current document or know whom to contact. Clear naming, a truthful status message and a reliable handover can be more useful than a launch announcement about a new tool.

The next useful question

Before choosing another system, ask: can someone else understand one sample event’s present position, and can we identify exactly what the available migration process preserves? Keep the unanswered parts visible. That gives the practice a concrete brief for its provider and a more realistic basis for comparing options.

Keep building a clearer workflow
